Exploring Guest Management

For Resort Marinas managing bookings, assigning moorage and recording charges for billing are the primary activities to be performed.  MARINA MATE offers the functions to handle these tasks and more.  For yacht clubs, it will perform the same functions for reciprocal moorage, but also is able to assign sublet moorage to visitors.  Reservations can be made, with or without booking fees and moorage deposits.  Charges related to moorage are generated based on vessel size and power needs.  Invoices are created at check-in or check-out with payments received.  Vessel and owner contract information is stored and available for future visits.  Slip assignment can be done directly on the dock bitmap graphics that have been set up for both finger-tie and side-tie docks.
Associated to Guest Management:
  • Record reservations up to 14 months in advance
  • Moorage assignment can be assigned in advance of arrival
  • Booking fees and moorage deposits may be billed when reservations are made
  • Record moorage preferences associated to the boat's moorage needs and owner wishes
  • Guests visits are flagged as Reserved, Arriving, Checked-In, Pre-Paid, Checked-Out and Vacated
  • Moorage related charges are generated automatically based on vessel size, power and length of stay
  • Other user defined charges can also be recorded and invoiced
  • Invoice for moorage either at check-in or when checking out
  • Separate reciprocal visitor rates may be assigned where applicable
  • For reciprocal guests, nights-per-visit, free-nights, visits-per-year, nights-per-year, and free-nights-per-year are kept and tested
  • Up to four different system defined taxes can be calculated
  • Invoices may be printed or emailed as PDF documents
  • Thankyou for visiting emails may be sent to guests following their departure
  • On the day of arrival, send emails to all guests having a reservation, asking to confirm their visit and provide an ETA
  • Moorage can be assigned using the Slip Query function with the click of a mouse
  • Current and future moorage assignment is displayed on a table made up of rows of dates and columns of slip codes
  • Guest visit properties may be loaded from spreadsheet or tab-delimited files
  • Guest visit properties may be output to spreadsheet or tab-delimited files

  • Revenue earned can be easliy broken down by Location, Dock, Guest and Member or Client revenue
  • Emails can be sent to past visitors advising of special deals, thanking them for visiting, wishing them Merry Christmas, etc.
  • Specific fields associated to guests visits may be exported to spreadsheet for analysis and/or generating graphs using MS Excel
